Position Summary
Maple Counseling is seeking an Institutional Giving Specialist with experience working in non-profit fund development and a proven ability in drafting grants and data coordination. The Institutional Giving Specialist is a key member of the development team at Maple Counseling, dedicated to advancing the mission of providing accessible mental health services. This role focuses on securing funding from foundations, corporations, government agencies, and other institutional donors. The incumbent is responsible for researching, drafting, and submitting grant proposals, as well as preparing reports and maintaining strong relationships with funders to support the organization's strategic goals and programs. These are core functions of the job. Additional duties may be assigned as needed.Grant Research & Writing
- Conduct thorough research to identify new grant opportunities from foundations, corporations, and government agencies that align with the organization’s mission and program goals.
- Support Director of Development & External Affairs in monitoring relevant RFPs (Requests for Proposals), grant announcements, and other funding opportunities.
- Write, edit, and submit clear, compelling, and well-researched grant proposals, letters of inquiry, and other funding requests.
- Collaborate with program and finance teams to gather information, develop program narratives, and create accurate budgets for proposals.
- Ensure that all proposals are submitted on time and meet the specific requirements and guidelines of each funder.
- Remain in compliance with all government, foundation and corporate partners.
Data Management & Reporting
- Prepare high-quality narrative and financial reports to funders, demonstrating the impact of funded programs and the effective use of grant funds.
- Maintain consistent communication with grantors, including sending acknowledgment letters and updates on program progress.
- Develop and maintain relationships with funders to foster ongoing support and engagement.
- Maintain a comprehensive calendar of grant deadlines, including proposals, reports, and renewal applications.
- Track the status of submitted proposals, follow up on pending applications, and record outcomes.
- Ensure accurate and up-to-date records of funder interactions and grant details in the organization’s donor database (Salesforce).
- Work with program staff to collect data and evaluate the outcomes and impact of funded programs.
- Assist in analyzing program performance and integrating this information into grant proposals and reports.
- Support program evaluation efforts to ensure that the organization meets grant compliance requirements.
- Create monthly fundraising reports and other database reports as needed and generate donor lists on a regular basis as requested.
Strategic Development Support
- Assist Director of Development & External Affairs in developing fundraising strategies and goals for the organization, including identifying new opportunities for institutional support.
- Participate in team meetings to ensure alignment between program needs and development efforts.
- Stay updated on best practices in grant writing and the broader funding landscape to enhance the organization's funding strategy.
Event Assistance and Preparation
- Support the Director of Development & External Affairs to coordinate essential event logistics, including venue arrangements, catering, decor themes, seating charts, and audio-visual needs, ensuring alignment with the event’s mission and objectives.
- Assist the Director of Development & External Affairs with coordinating all pre-event logistics, including organizing and preparing event materials, ensuring all necessary items are accounted for, and overseeing the loading and transportation of supplies to the venue. Work closely with vendors, volunteers, and staff to confirm all event essentials are ready and on-site according to schedule.
- Provide hands-on support during events to facilitate smooth operations, managing guest check-in, seating, and overall guest experience.
- Provide hands-on support and oversee post-event cleanup and breakdown, ensuring that all materials, decor, and equipment are properly stored or disposed of. Coordinate with staff and vendors to leave the venue in excellent condition, handling any remaining logistical tasks to finalize the event.

Minimum Qualifications
- Bachelor’s degree in English, Communications, Non-Profit Management, Social Sciences, or a related field.
- Minimum of 2-3 years of grant writing experience, preferably in the non-profit or mental health sector.
- Any combination of skills and experience that demonstrates the ability to perform this job effectively.
- Proven success in securing grants from foundations, corporations, and government sources.
- Exceptional written and verbal communication skills with the ability to craft clear, compelling narratives.
- Strong research and analytical skills for identifying funding opportunities and aligning them with program needs.
- Ability to develop and interpret budgets and financial information for grant proposals.
- Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with donor database systems (Raiser’s Edge & Salesforce).
- Highly organized with the ability to manage multiple deadlines and prioritize tasks effectively.
- Knowledge of mental health services and a passion for supporting community-based mental health programs is a plus.
